UCCS Motor Pool vehicle are reserved thru Kx
All motor pool reservations must be made at least four days prior to the date the vehicle is needed. The Kx system will not permit reservations that are less than four days prior to the date needed.
If you are trying to make a motor pool reservation less than four days prior to the needed date, then we ask that you email Transportation Services directly to see if a vehicle is available. If a vehicle is available, Transportation Services can manually process your request. A $10 processing fee will be applied for manually processed reservations. If manual processing is needed, send an email to email@example.com with the following information:
The name of the driver(s)
Type of vehicle(s) needed
Date(s) the vehicle is needed
Departure and return time
Reservations that are cancelled within 72 hours of the reservation date may be assessed a $15 cancellation fee for each day of the reservation. This is due to the fact that no other department was able to rent the vehicle during the reservation period.

Only a limited number of Motor Pool vehicles are available. Drivers must have a valid US Driver's license, department approval and provide a University Speed Type to operate a Motor Pool vehicle. Approved drivers on official business are provided with full insurance coverage. A completed trip ticket must be returned with the keys at the end of the reservation period or additional charges accrue. Due to safety and insurance concerns, please see the additional information below regarding restrictions and requirements for 15 passenger van use. Damage to a Motor Pool vehicle may result in your Speed Type being charged a $1,000 deductible.
Operators of University vehicles must be familiar with UCCS Administrative Policy Statement 400-007 Motor Vehicle Acquisitions Operations, particularly the information related to appropriate use and accident reporting.
Due to safety and insurance concerns, restrictions are placed on the use of 15-passenger vans and additional training may be required. Requests for 15-passenger van training must be scheduled at least two weeks prior to the date the van is needed. A completed Department Authorization form must be submitted to Transportation Services at least two days prior to your 15-passenger van training. Reservations will not be approved unless both requirements have been completed. To schedule a 15-passenger van training or to verify that you have been trained, please contact Trans@uccs.edu.

Motor Pool Rates
Vehicles rentals have a daily rental rate and a mileage rate. The daily rate is $15 per day for both the cars and the vans. The mileage rate for the cars is $0.40 per mile and the vans are $0.50 per mile.
Vehicles available through Motor Pool
Presently there are six vehicles that are available to rent:
- Prius - there are three of these available and they will comfortably hold four people.
- Minivan - there is one seven passenger van
- 15 passenger vans - there are two vans presently available. To reserve or drive a 15 passenger van requires additional training.
State Contract Rentals
The State has contract service agreements with several rental car agencies. To utilize a vehicle from these agencies the renter must have the University-issued State Travel Card, a valid driver's license, and meet the rental agency age restrictions. With the exception of trucks, SUV's and 15-Passenger Vans, renters must decline all additional insurance coverage since full coverage is provided through the Travel Card agreement and University insurance.
Individuals may elect to utilize their personal vehicle for university business and claim mileage reimbursement through their sponsoring department. No University insurance coverage is provided since the mileage allowance takes into account the total cost of vehicle operation, including mandatory liability insurance. The owner's personal auto insurance provides coverage - some personal insurers do not cover business travel, so check your own insurance coverage!
