University Center Mission Statement

The mission of the University Center is to facilitate the educational process by providing opportunities for the university community to interact in a variety of formal and informal settings, to assist with student growth and the development of co-curricular cultural, social, educational, and recreational awareness.

University Center Operating Philosophy

The University Center serves as the community center for the University; serving students, faculty, staff, administration and guests. As the community center, the University Center complements the academic programs by providing support to the out-of-classroom experience through an extensive array of cultural, recreational, social and educational programs. The University Center is a student-centered organization that values participatory decision making and volunteerism. The University Center provides these programs through the services and facilities that are the University Center; the division of Campus Life including the Refuge for Organizations, Activities and Recreation (ROAR), Campus Activities Office, Student Government, Student Clubs and Organizations, Campus Recreation, the Scribe, Information Desk, meeting rooms, the game room/pub, food services, bookstore, the Stop & Paws Convenience Store, and the Virtual Bookstore.

Student Success Mission Statement

The Student Success Division provides students of the University of Colorado at Colorado Springs with the financial, social, academic, and developmental support needed to achieve each student’s educational goals. Understanding the complex demands of a student body comprised primarily of commuter students with a growing number of residential students, we provide the broad array of services that enablethis diverse group of students to achieve academic and personal success. We work as a collaborative, creative consortium dedicated to meeting the needs of students, fostering an inclusive learning environment in the setting of a comprehensive, regional research university.

University Center Student Employment

Employment in the University Center is supported through the University work study and/or hourly student employment programs. As a student employee of the University Center, you are an important member of the staff. The University Center is a focal point of many student, staff, faculty, alumni, and community activities on a daily basis. The appearance of the University Center and its staff will affect the impressions of those people. Often these impressions will affect how individuals view the entire university. Be proud of your work and your area of responsibility, and you will be proud of our University Center. If you take pride in you work, you will help create a positive image of the University of Colorado at Colorado Springs.

You are one of a select group of students who were hired because of your work experience, potential, and personality. Working in the University Center is a privilege, but being a “select” individual does not give you the right to special considerations. As any other student at UCCS, you must adhere to all of the policies and regulations. Never take advantage of your position.

Employment in the University Center provides many benefits. You will be presented with opportunities to experience personal growth and development.  You will receive training in a variety of skills that will be valued additions to future resumes and jobs. As an employee, you will automatically be in a position to find out what is happening on campus and become involved in many campus activities and programs. You will learn the importance of serving people courteously and effectively. And, most of all, you will be an integral part of an organization making a significant contribution to the quality of education and campus life.

Hiring Policies and Procedures

The University Center office accepts applications for the various student employee positions in the University Center near the end of each semester; the hiring process takes place for the upcoming semester. Information about the available positions may be received from one or more of the following forms of advertisement: the Scribe, the Information Desk, SEAN’s Place (www.uccs.edu/~stuemp.sean), or Student Employment Office. Job descriptions and application forms are available at the University Center Information Desk. All applicants are required to submit a completed University Center job application form. Applications are screened and individuals under consideration will be given a personal interview by University Center staff.

Candidates for various positions in the University Center are considered on the following criteria:
1. Seniority within the University Center.
2. Flexibility in schedule (availability for diverse hours).
3. Previous work experience in another University facility or related work.
4. Demonstrated ability and/or potential to do the job.
5. Personal appearance and attitude.
6. Demonstrated interest in the operations and activities of the University Center.
7. References/recommendations.
8. Must be a currently enrolled UCCS student or meet criteria for summer employment.
9. Must be determined eligible for campus employment by the University Student Employment Office.

Employment Policies and Procedures

All University Center employees must adhere to the following policies and procedures.There will be no exceptions.

TRAINING
All student employees will receive training before their job begins and also while on the job. Training should be viewed as an ongoing process. Beginning of each Fall and Spring Semesters a special training seminar will be conducted for all employees working in the University Center. This seminar is mandatory and required of all University Center student employees. In addition, other training sessions and seminars may be required throughout the year.

COMPENSATION
Hourly wages differ depending upon the job description that you were hired to fulfill. A University of Colorado at Colorado Springs student employee wage scale can be found at Student Employment website or office, University Center Director will have a copy available for student use. Student employees are not eligible for unemployment insurance. Student employees should make sure that they do not work more than the number of hours approved by their supervisor. The University Center will not pay overtime. Extra work hours may become available at different times and employees are encouraged to sign up for them.

Raises are determined by a combination of seniority/length of service and performance evaluations. After review, student employees may receive a merit promotion of one salary step ($.25/hour) after they have completed one semester and a minimum of 200 hours in a given job category. There will be no more than a one (1) step raise in any given 12 month time period unless there is a significant change of duties within a job category. This may continue until the student reaches the maximum salary of the job category. THIS RAISE IS ONLY GIVEN IF THE STUDENT EMPLOYEE IS DOING WORK THAT IS CONSIDERABLY BEYOND THE NORMAL STANDARDS OF THE JOB REQUIREMENTS. Prior to any promotion a formal evaluation will be required to be completed by the appropriate supervisor.

Where special skills are required as part of one’s job this may justify an increase in salary by one salary step. Experience may result in an increase of the starting base salary by one salary step. Special consideration may be given to new student employees who can provide proof of six (6) months previous experience that is directly related to the position for which they have been hired.

WORK SCHEDULES
Work schedules are completed on the basis of class schedules. Any changes in the work schedule must be approved in advance by the appropriate supervisor. Please report any changes in your class schedule, address, phone number, or student status to your supervisor immediately. Should you drop out of school, your work status has changed and the University Center office must be notified immediately. At no time are you allowed to work when you are normally scheduled to be in a class. Should your class be canceled and you wish to work during that time, please notify your supervisor so that the appropriate paper work can be completed to allow you to work during that time. Your job with the University Center should be considered one of your highest priorities. If you have a second job, you should be aware that work schedules in the University Center would be determined around your class schedule only. If there is a conflict in work schedules between the University Center and a second job, you will be asked to decide between the two jobs.

DRESS CODE
Information Desk and Building Managers are expected to wear a University Center shirt and nametag at all times while on duty. No bare feet, cut-off shorts, or baseball caps are to be worn while on duty. If an employee forgets his/her shirt he/she will be expected to go home and get it. If an employee does not have transportation home, a temporary shirt will be provided. After the third failure to adhere to the dress code termination procedures will commence.

MEETINGS
Mandatory meetings (for which you will be paid) will be scheduled periodically. Every attempt will be made to give you ample notice prior to the scheduled meeting. Employee absenteeism without direct notification to their supervisor prior to the meeting may be grounds for termination. Information Desk and Building manager meetings will be scheduled on a regular basis (i.e. every week or every two weeks) and are a condition of employment.

ABSENTEEISM/SUBSTITUTES
A good worker is seldom absent from the job. Being absent is a burden on your fellow workers. If an employee knows he/she will not be able to work a scheduled shift, he/she should arrange for a substitute well in advance. Notice of time off form must be filled out and approved by the supervisor before the absence. Leaving this decision to the last minute will cause problems. IT IS THE RESPONSIBILITY OF THE EMPLOYEE TO ARRANGE FOR SOMEONE IN THE SAME WORK AREA TO SUBSTITUTE FOR HIM/HER.

Employees are held responsible for all scheduled hours until a Notice of Time Off Form has been completed and submitted to your supervisor. Both the scheduled worker and the substitute must sign this form. A list of University Center student employees and their phone numbers is provided to each student employee to assist with finding a substitute when one is needed. If you are sick and cannot come to work, IT IS YOUR RESPONSIBILITY TO FIND YOUR OWN SUBSTITUTE. DO NOT CALL YOUR SUPERVISOR AND EXPECT THEM TO FIND A SUBSTITUTE FOR YOU.

TARDINESS
Employees are expected to be prompt and ready for work at their scheduled work time.  Being ready to start work on time is an important part of being a good employee. Plan ahead!!! Remember that your being late to work will affect others and their classes or plans. You are expected to report to work 10-15 minutes prior to your scheduled time to enable smooth transition and communication with the employee preceding you. In extenuating circumstances, if you are delayed, call ahead and directly notify your supervisor. Excessive tardiness will not be tolerated and may result in termination.

DRUG/ALCOHOL
The use of alcohol and/or drugs while either on the job or before coming to work will not be tolerated. Violation will result in immediate termination from the job as well as university  disciplinary action. If you are taking medication prescribed by a doctor that would affect your job performance, you should inform your supervisor.

GRIEVANCES
If you respect your fellow workers, cooperate with them, and are considerate of their needs, you will find that they will reciprocate. If you have a complaint about another employee, try to talk to that person and resolve the situation before talking to your supervisor. If you have a problem with your supervisor, first try to work things out together before talking with the University Center Director. Any grievance about a procedure, policy, and/or person would be directed to your supervisor and if you are not satisfied then to the University Center Director.

LEAVE/VACATIONS
Every attempt will be made to allow an employee to take a leave of absence without pay for medical reasons or other extenuating circumstances. For extended leaves, in most cases you will be able to return to work in the University Center at a later date as other positions open up. All arrangements must be made in advance with your supervisor and with the approval of the University Center Director. Student employees do not accrue vacation or sick leave.

ILLNESS/INJURY ON THE JOB
If you become ill or sustain an injury while working, notify the University Center office or the Building Manager on duty immediately. If a Building Manager cannot be reached, notify the Department of Public Safety at extension 3111 (emergency only).

INSURANCE
The University Center does not supply insurance to student employees. Student health insurance may be obtained through the Student Success Center. However, student employees are covered by Workmen’s Compensation for on the job injuries.

Other Things Employees Can Do

1. Look for new ideas and share them with the University Center staff. If your idea works, everyone can benefit.
2. Think of ways to save time and money and do your work better.
3. Be willing to listen to the ideas of others.
4. Be willing to change work habits and attitude when new methods are instituted.

Payroll Information

All student employee salaries are determined by the position held. Raises are determined as outlined in the compensation section (Page 3) and also in the University Center’s Compensation plan (Appendix A).

All student employees must use time cards, which are kept, in the University Center office. Each employee has the responsibility to punch in and out at the beginning and end of each shift. If you forget to punch in or out at the beginning or end of a shift, the time may be written in but must be signed and approved by your supervisor. Relying on someone else to punch your time card for you is risky. If you fail to punch in or out, you may not be paid for that time.

Pay periods run two weeks in length. Current pay period is listed on your time card. Time cards are to be submitted to the University Center Program Assistant by the last day listed on your time card. You must sign your time card prior to turning it in.

New student employees will typically be hired at the starting salary in the pay range specified in the compensation section (Page 3). However, the University Center reserves the right to start a new employee at any wage within the specified pay range, based on previous relevant experience, specific job skills/knowledge or other job related skills/knowledge.

After review, student employees may receive a merit promotion of one salary step after they have completed one semester and a minimum of 200 hours in a given job category. This may continue until the student reaches the maximum salary of the job category. This raise should only be given if the student employee is doing work that is considerable beyond the normal standards of the job requirements. There will be no more that one (1) step raise given during any 12 month time period unless there is a significant change of duties within a job category.

Prior to any promotion, a formal evaluation is required to be completed by the appropriate supervisor. Where special skills are required as part of one’s job this may justify an increase in the starting wage. In all cases, the starting wage will be within the range listed for specific category/position.

Special consideration may be given to new student employees who can provide proof of previous experience that is directly related to the position for which they have been hired. Six-month minimum previous experience may result in an increase of the starting base salary.

A student employee’s first responsibility is to their direct supervisor.  If no work is assigned, students may be given work from other departments within either the

University Center or Campus Life. This first must be cleared with the employee’s direct supervisor. Students may read/do homework only if their direct supervisor and other staff members have no work for them to do. 

TIME CARDS MUST BE COMPLETED WITH A PEN ONLY. Time cards completed or signed in pencil will be returned It is your responsibility to sign your timecard by the final day of the pay period and turn it into the Program Assistant. There will be no reminders.

Checks are issued every two weeks and are directly deposited into a bank account that you designate.

Evaluation Procedures


At the end of each Spring semester, every student employee will have an evaluation appointment with his/her supervisor to discuss his/her job performance. Written and/or verbal evaluations from Building Managers, Information Desk staff, professional staff and/or other University Center employees and tenants will be discussed at this time. The evaluation interview also allows the student employee another opportunity to present any problems, suggestions, feedback and general comments.

The following termination procedure will occur when an employee performs poorly. (i.e. excessive tardiness and substitutions, absenteeism, minor rule violations, continued poor attitude and/or work performance)

1. A verbal warning will be given at the time of an incident and a note will be made in the employee’s file.
2. A written warning will be given after the second offense and a copy will remain in the employee’s file. This written warning will also set parameters, guidelines and time frame improvement to be made. The employee will then be placed on probation.
3. If improvement does not occur, the employee will be given a written notice of termination from employment.

Immediate termination may occur for a serious offense. The student employee will be terminated at once and the student employee must report to their supervisor’s office the following workday to pick-up written notification of termination and all appeal procedures. Reasons for immediate dismissal may be, but are not limited to the following:

1. Theft.
2. Intoxication and/or drug usage while on the job.
3. Intentional damage to facilities and/or equipment.

Termination proceedings may also begin for:
1. Allowing unauthorized use of facilities or equipment.
2. Refusal to carry out a reasonable assignment.
3. Failure to attend a mandatory meeting without prior approval.

Every employee has the right of appeal if he/she feels that the termination is unfair, untrue, or that there are extenuating circumstances. The employee should use the following procedure:
1. Forward a written statement appealing the dismissal to the University Center Director within five working days after the termination.
2. The University Center Director will respond to the appeal within five working days after receiving it.

Conferences, Wrokshops, and Seminars

Student employees may be given the opportunity to attend various conferences, workshops, and seminars. These are considered part of the student’s educational experience and are strictly voluntary. In the instances, the University Center will provide travel, lodging and meal allowances in accordance with University travel guidelines. Compensation for time is not provided except for mandatory staff training and when approved in writing prior to the conference, workshop or seminar.

University Center fire Procedures

The following procedures are established for the proper and safe handling of any fire alarm in the University Center. There will be two separate procedures:
1. Normal Weekday.
2. Weeknight, Weekend, Academic Breaks.

NORMAL WEEKDAY
Upon the sounding of a Fire Alarm, each department is responsible for evacuating their respective areas and ushering any individuals outside via the quickest route.

Bookstore will verify that the Bookstore, Stop ‘n Paws Convenience Store and Virtual Bookstore have been evacuated and will monitor the door at the southwest corner, first floor of the University Center to assure that no one re-enters the building until notified (by either Public Safety or University Center Staff) that the building has been cleared.

ROAR/Student Government: will verify that the Student Government/Club Organization complex, Scribe and Campus Activities offices have been evacuated.

Pub/Game Room:  Sodexho staff will vacate the Pub/Game Room directly outside through the west doors and will monitor these doors to assure that no one re-enters the building until properly notified.

Jazzman’s: Sodexho staff will evacuate the Pavilion from the doors that enter the library to the stairs that go up to the 2nd floor lobby; they will monitor all doors on the Upper Plaza.

Campus Recreation: will evacuate the gymnasium, locker rooms, weight room and aerobic room.  The staff will monitor the east doors exiting from the 2nd floor lobby toward Dwire Hall.

Overlook:  Sodexho staff will evacuate the back kitchen, servery and dining areas.  The staff will monitor the west doors exiting from the 2nd floor lobby and all three doors exiting from the dining area toward the Engineering Building.

Intercollegiate Athletics will evacuate their offices via the back fire stairs and monitor the loading dock to assure that the building is not re-entered.

University Center Administration will verify that the building has been evacuated and that each of the doors are being monitored, if a door is not monitored the University Center Administration will assign an individual to do the monitoring, upon assuring that the building has been evacuated they will wait for notice from Public Safety that the building has been cleared or for direction from the Colorado Springs Fire Department. The primary contact for either Public Safety or the Colorado Springs Fire Department will be the University Center Director; if this individual is not available this responsibility will fall to the Program Assistant. This individual will wait for notice from the Public Safety at the University Center main entry (at the glass tower). Upon notice from Public Safety this individual will notify the other door monitors that the building has been cleared.

WEEKNIGHT, WEEKEND, ACADEMIC BREAKS
If the offices listed above are staffed and open their responsibilities remain the same. University Center Administration will verify that the building has been vacated checking areas that are not covered when the department listed above is not opened. The University Center Building Manager is assigned this responsibility and upon verification that the facility has been vacated they will await notice or direction from Public Safety or the Colorado Springs Fire Department at the University Center main entry (at the glass tower)
