University Center Digital Signage Regulatory Procedures

Authority

In accordance with the campus policy governing the use of university facilities, the University Center has been given the authority to supervise the use of the digital signage system (Policy #400-001).

 

General Information

All materials for digital signage display must receive approval from the Director of the University Center or designee. Materials for submission will be accepted by:

*   digital signage display inbox, \\ucdigital1\inbox

  • from the START menu, choose RUN and type in \\ucdigital1\inbox

*   email address, ucdigisn@uccs.edu

  • if file or context is equal to or less than ten megabytes

*   DVD, floppy disc, USB drive, VHS, or other media formats can be brought to the University Center  

     Information Desk or mailed to Digital Signage Request, 1420 Austin Bluffs Parkway, Campus Box UC1,

    Colorado Springs, CO 80933-7150

 

All submissions must have the name, the phone and the email contact information of the individual making the submission.

 

Any sound files such as wav, mp3, midi, CD audio; any graphic files for pictures such as jpg, gif, psd, etc.; any video files such as any avi, qt3, mpeg 1 & 2; or any animation files such as swf, flc, fli need to be included with submitted slide or presentation.

 

Procedures

  • Completed materials must be submitted for acceptance at least one week prior to being placed on the digital signage play list/scheduler and will be scheduled for a two-week period dependant upon demand.
  • Materials must have a name of an individual, department, club, or organization and a phone or email address contact included in the slides/presentation/video.
  • Each submission must not to exceed 10 slides/presentations and video streaming must not exceed three minutes.
  • Submitted material must be in PowerPoint. The page setup should be:
On-Screen Show
In landscape
10 inches in width x 7.5 inches in height
Imbedded material dimensions should not exceed 1280 x 768 pixels
Fonts are a minimum of 16 points and maximum of 72 points.

Example:

  • Each submission should be no longer than 20 seconds per slide/presentation for graphics and/or text and no longer than three minutes for videos.
  • Submitted materials must be one of the following three categories: UCCS sponsored on/off campus events; general student information; student services.

 

Priority of Playlist/Scheduler

Priority of presentation of material is given in the following order:

1.         University of Colorado at Colorado Springs recognized and registered student clubs and organizations.

2.         Entities and Departments within the University Center.

3.         University of Colorado at Colorado Springs departments.

4.         University of Colorado system.

5.         University of Colorado at Colorado Springs vendors.

6.         Community groups, organizations, companies, associations, corporations, or individuals sponsoring an event for the campus.

 

Regulation Enforcement

University of Colorado at Colorado Springs and its appointed administrators reserve the right to refuse approval for any submitted material that is not compatible with the University’s educational mission.

 

Fees/Charges

Use of the digital signage system is at no cost to University of Colorado at Colorado Springs recognized and registered clubs and organizations; Entities and Departments within the University Center; University of Colorado at Colorado Springs departments; University of Colorado system.

 

*Any event, activity, or program being advertised by University of Colorado at Colorado Springs recognized and registered clubs and organizations; Entities and Departments within the University Center; University of Colorado at Colorado Springs departments; or University of Colorado system that will have an admittance charge or participation fee, will have an advertising fee of $25.00 per event.
