Jeff Davis opened the meeting at 9:36 a.m. It was noted that a quorum was not present for voting. An agenda, Sodexho October 2004 report, and November 12, 2004 meeting minutes were distributed.
Approval of minutes from November 12, 2004. A quorum is not present and the approval of minutes will be placed on the next meeting agenda. A tentative approval was motioned by Pam Mercer and seconded by Sean Flaherty.
October Sodexho Report. Greg Soukup noted that the special is not listed on page 4 of the report.
Jeff noted that the Fall 2004 Graduation will be held in the gymnasium.
Spring Promotions - Munch Money. Jeff noted upcoming meetings with Sodexho concerning promotions for Spring Semester, including munch money promotion for commuter students and bonus money for Board Plan, both excludes sales tax on purchases.
Freshëns Breakfast Drinks. Jeff noted that Sodexho will add selections at Freshëns menu and add combination selections. Greg will change out Freshëns cardboard displays and will discuss new promotion displays. Jeff noted that the upcoming installation of the LCD screens will help with Sodexho promotions.
Pizza Hut Contract. Jeff noted that the Pizza Hut Contract has been extended under Sodexho for the next two years. He noted that many larger schools have individual contracts with store fronts, but that currently our size dictates the contract to remain under the Food Service provider, Sodexho.
Freshëns. As last reported on May 4, the installation of Freshëns into the Overlook Cafe was to take place over the Summer semester. There were several issues with the cabinets and countertops being delivered and installed. Installers had to be changed due to inability to complete as guaranteed, solid surface countertops had to be reordered after arriving broken in several places, and adjustments had to be made in floor tile and walls due to incorrect cabinet construction. A temporary cabinet and countertop was installed by Dan Smith and Larissa Bonnet until correct cabinets and countertops arrived and were installed. Freshëns was ready with complete installation before the Fall semester began. Jeff will work with Sodexho on marketing and promotion advertising for the Digital Signage System. He noted that two LCD screens will be placed at the second level of the University Center and two LCD screens will be placed on the elevator shaft near Jazzman's. One screen at each location will be a calendar style setup with news/events for today/a week out/a month out and the other screen will be more digital feed with clubs, organizations, and department advertisements and notices.
Greg noted that Sodexho will distribute recyclable cups with coupons and treats in them at the Alpine Village. He noted that page 5 of the report showed lower traffic. He stated that due to staff changes with Jazzman's the sales dropped, but with consistent staff now in place the sales should pick back up. Kathy Griffith noted that Freshëns could be promoted as a healthier meal choice.
Jeff noted that an $18,000.00 catering event was removed from the yearly sales because this one-time event would have skewed the comparison numbers over the years.
Greg noted that the customer service survey began in November so the results are not yet available. Greg noted that the Lodge has monthly menus posted. He noted that there is to be a cooking class once a month and an Iron Chef competition soon.
Greg noted the retail portion of the report. He noted the cooperation between Sodexho and Athletics for game refreshments and concessions at the Pub. Athletics is having people directed to the Pub for concessions. Sodexho will possibly pick up the concessions at 4 Diamonds if the city of Colorado Springs decides not to continue with current vendor who has expressed a desire to not continue the service.
Kathy noted that the target audience has alumni listed in the retail report and asked that it be taken off unless alumni is specifically targeted. She also noted that the staging of the food for last Regents meeting was in the hallway in the Lodge and that this seemed inappropriate. Jeff noted the Safety Audit concerning this issue.
Greg pointed out increases and no changes in the report. He noted that item price increases were targeted instead of across the board price increases. Greg noted that he will advertise munch money to offset the Sales Tax increase effective 1/1/05. Dan suggested advertising combos as savings also. Jeff asked for a motion to approve the Sodexho price increases. Kathy motioned for approval and Dan Koble seconded the motion.
Sodexho Traffic Pattern Software. Status of Project. Jeff noted that he is working with Greg and Steve Ellis to make sure that the chosen software will secure any data that is recorded.
MBA Class Project Status. Jeff noted that no further inquiries or interest have been expressed after he contacted the group for a proposal.
Jeff and Greg spoke about food service on campus and the hours of operations at each area. It was asked what evening food services are available if Overlook and Jazzman's closes before the evening hours. Greg noted that the Lodge is available and vending machines in the buildings. Dan asked what is available in University Hall. Jeff noted that only vending is available at this time.
Sean Flaherty noted that ID cards should be swiped instead of punched in at the Lodge. Jeff noted that it is a security issue with taking down numbers to be punched in instead of swiped in. Jeff noted that Public Safety is eliminating all ID cards with Social Security Numbers as of April 9-10, 2005. All ID cards will have a randomly generated number versus a Social Security Number
Sean noted that placards will be placed in the Lodge for dietary information on Freshëns.
The committee commented on coffee creamer containers being left out all day at Jazzman's and the need for the Panini oven to repaired or replaced. Greg noted that the containers are thermal insulated so that the creamer stays cool and that the Panini oven will be repaired or he will bring in another one.
