Request to Fill a Position

The Request to Fill process is now an online process in HCM. You are still required to request a new position, fill a vacant position, or to reallocate or promote a current employee. In the HCM system, you must create or modify a position using an ePAR Position template. Step-by-Step guides can be found on the Employee Services website.

To clarify for approvers, we request that you include the Request to Fill information in the Comments box on the first page of the ePAR POS; this will give approvers a snapshot of the request on the first page. Please include one of the following:

  • REQUEST TO FILL A FACULTY POSITION
  • REQUEST TO FILL A UNIVERSITY STAFF POSITION
  • REQUEST TO FILL A STATE CLASSIFIED POSTION
  • REQUEST TO REALLOCATE A STATE CLASSIFIED POSITION
  • REQUEST TO FILL A TEMPORARY POSITION
  • REQUEST TO PROMOTE A CURRENT EMPLOYEE

This should be followed by the following information (delete prompts if not relevant to your position):

  • Position Title/Job Code
  • Full time/part-time (FTE)
  • for classified - reports to (name)
  • for existing positions - previous employee name
  • for all employment groups - a very brief job summary
  • for sponsored programs - name of sponsoring agency
  • Dollars available
  • Requested annual salary (if requested salary is greater than budgeted salary, explain in detail how the position will be fully funded)
  • Source(s) of funding/speedtype(s) and percentages assigned to each speedtype listed
  • for classified reallocation request - proposed salary and balance increase over the rest of the fiscal year

You will complete all of the ePAR POS transaction pages and save the transaction. After saving, you must add the following ad hoc approvers to the workflow prior to HR:

  • Dean/Director
  • Provost or Vice Chancellor of your unit
  • if funded by a sponsored program - Brad Bailey and Gwen Gennaro
  • if funded by a gift - Kelsey Robinson
  • for new positions or promotions only - Susan Szpyrka
