Request to Fill a Position

A Request to Fill a Position email must be generated whenever a unit would like to hire a new employee, or reallocate or promote a current employee. When the Request to Fill email has received all approvals as follows, the request may be added to the agenda for Leadership Team's (LT) final approval. The deadline for inclusion on the LT list is Thursday at 3 PM for the following week's meeting. If LT approves the request, HR will notify the requesting department and formally begin to work on the request.

The subject line of the email must state one of the following:

  • REQUEST TO FILL A FACULTY POSITION
  • REQUEST TO FILL A UNIVERSITY STAFF POSITION
  • REQUEST TO FILL A STATE CLASSIFIED POSTION
  • REQUEST TO REALLOCATE A STATE CLASSIFIED POSITION
  • REQUEST TO PROMOTE A CURRENT EMPLOYEE

This email must be sent to the following individuals/departments with a request that they approve with a "reply all."

  • HRrecrut@uccs.edu
  • Dean/Director
  • Provost or Vice Chancellor of your unit
  • Sponsored Programs (if funded by a sponsored program)

Required attachments:

  • for university staff - current organizational chart with the requested position included
  • for classified - current organizational chart with the requested position included

Information required in the body of the email:

General Information:

  • College/Department/Unit
  • Position Title/Job Code
  • Position Number (or "NEW POSITION")
  • for faculty - non-tenure track or tenure track
  • Full time/part-time (FTE)
  • for classified - reports to #(position number) and Appointing Authority #(position number)
  • for existing positions - previous employee (name and position title)
  • for all employment groups - a very brief job description

Budget Information:

  • for sponsored programs - name of sponsoring agency
  • Dollars available
  • Requested annual salary
  • Source(s) of funding/speedtype(s) and percentages assigned to each speedtype listed
  • for classified reallocation request - proposed salary and balance increase over the rest of the fiscal year

Recruitment Plan: 

  • for faculty and university staff positions - list search committee members (Chair; Diversity Champion, others)
    • Recruitment outreach - (national, regional, local, institutionally). Ads will be placed on Jobs at CU and Inside Higher Ed (insidehighered.com)
  • for classified positions - Ads will be placed on Jobs at CU
